Overview

The Whale KYC system supports handling customer account opening information-related workflows, including account opening review, account information modification, and other workflow management.

Prerequisites

You must obtain the following authorization to use the system functions properly:

Account Opening Review

Step 1: View the Account Opening List

  1. When a customer submits an account opening application online, or when back-office personnel submits an application offline, the system will record it in the "Accounts" and set the status to "Pending Review".
  2. Click the "Details" button to navigate to the full account information detail page.

Step 2: View Account Information

On the "Account Details" page, all account information submitted by the customer is displayed.

Step 3: Review Account Information

In accordance with regulatory requirements and risk management policies, review the account information submitted by the customer as prescribed, including identity verification, address verification, financial information authenticity checks, and risk assessment.

Select the rejection reason and rejection page to return the application to the customer; the customer may update the information and resubmit the application.

Step 4: Account Activation

If all review steps are approved, a securities account will be generated and the account will be successfully activated. The customer may then proceed with deposit and trading processes.

Account Information Modification

Step 1: Locate the Field to Modify

Hover the cursor over the field and click the "Edit" button.

Step 2: Submit the Update

In the update dialog, enter or select the new information and submit.

Step 3: Review the Modification Work Order

On the work order approval page, find the current work order, then click "Approve" or "Reject" after confirmation.

If you click "Approve," the information modification will succeed; refresh the account details page to display the updated data.

If you click "Reject," the information modification request will not be approved.

Account Information Entry

For this task, directly enter the customer's application information. Click "Add Account Application" at the top right to enter the account opening page as shown below:

Step 1: Select Account Opening Type

The account opening process is divided into three steps: select an existing customer or create a new customer, choose the customer type, and select the customer's nationality.

Select Existing Customer / Create New Customer

Select Existing Customer: Choose a registered customer (APP user). You may search by customer number, phone number, email, full name, or identity card.

Create New Customer: For customers not registered in the system, you may create them through this task. The system currently offers multiple login methods to choose from:

  • System-generated APP account login
  • Mobile phone verification code login
  • Email verification login

Select Customer Type: Options include Individual Customer / Joint Account Customer / Corporate Customer.

Note: For corporate accounts, you may modify the default CRS corporate entity type for the company account.

Step 2: Upload Identity Documents

Customers are categorized into three nationality types:

  1. Nationality: Mainland China

    1. Mainland China users must upload Mainland China identity card.
    2. Possession of a Hong Kong identity document: default is "No"; if the user selects "Yes," guide the user to provide supplementary Hong Kong document information.
  2. Nationality: Hong Kong, China

    1. Hong Kong users must upload Hong Kong identity card and fill in corresponding information.
  3. Nationality: Other

    1. Other nationality users must upload identity document(s) and passport.
    2. Possession of a Hong Kong identity document: default is "No"; if the user selects "Yes," guide the user to provide supplementary Hong Kong document information.
    3. If the user selects "No," upload other identity documents.

Step 3: Upload Proof of Address

Customers are categorized into two types:

  1. Mainland China nationality users

    1. May use identity card as proof of residential address.
    2. If address proof document type is selected as "Identity Card," no residential address proof upload is required.
    3. Address proof document type selection:

    1. Must upload proof of residential address.

Step 4: Complete Various Basic Information

This primarily includes occupational information, tax information, email address, and other details. Among them:

Tax Information: Enter the country/region where the user is taxed and the tax identification number. Up to 10 entries are supported. Fields include: Tax Country/Region and Taxpayer Identification Number.

Email Address: The email used by the user to receive statements, notifications, and other notices. Each APP user must have a unique email address.

Enter contact phone number. Multiple customers may use the same contact phone number.

Step 5: Complete Asset and Investment Information

The system will display the customer information arranged by sections such as: identity documents / personal basic information / occupational information / asset and investment information / compliance confirmation / linked account information, making it easy to review and confirm the entered information.

If any information requires correction, click the "Edit" button at the top right of the section to navigate to that information area and make the necessary changes.

Step 8: Select Account Type and Upload Account Opening Documents

Upload account opening documents and custom documents:

  1. Base documents are system-generated account opening related files; information entered in the back office is auto-filled.
  2. Business staff may print the documents for the customer to sign.

Account Type: You may choose to open a margin account or a cash account; the system supports opening multiple accounts simultaneously.

Other configuration information includes: whether to receive offline statements / broker / witness employee name / license number / securities number (custom input for customer account) / customer declaration and information confirmation.
